INFORMATION AND REQUEST FOR CONSENT TO THE PROCESSING OF PERSONAL DATA IN ACCORDANCE WITH EU REGULATION 679/2016 AND ITALIAN LEGISLATION IN FORCE ON THE MATTER
The organizing secretariat of the Psychology of Tourism and Quality of Life Conference: rethinking travel to restart societies, Rome, September 16-18, 2021, in order to carry out its activity, needs to process some of your personal data. Therefore, pursuant to art. 13 of the European Regulation 2016/679 – “Regulation on the protection of individuals with regard to the processing of personal data and on the free movement of such data” (hereinafter, the “Regulation”), as well as the Italian legislation in force on the matter, we provide below the information regarding the processing of your personal data.
1. Purposes of the treatment
Your personal data belonging to the category of common data – will be processed by Us:
a) for pre-contractual and contractual requirements, for the provision of services under the contracts;
b) for administrative-accounting, operational and managerial needs related to Our activity and control of the progress of relations with customers;
c) for legal fulfilments connected to civil, fiscal or other norms, to regulations or to community norms;
d) for any sending of information regarding the Conference, via email, sms, messaging;
e) for the management of those enrolled in the Conference, also for the purpose of carrying out internal statistics, as well as for communicating its clientele to potential clients and/or suppliers;
f) for inclusion in the program, in its own brochures and in its own informative/advertising material.
2. Nature of the conferment and legal basis
The conferment of data for the purposes of letters d), e), f) is not compulsory, therefore any refusal has no consequence other than the impossibility of implementing initiatives aimed at participation in the Conference, while the failure to provide data for all other purposes makes it impossible to establish the contractual relationship or its continuation.
With reference to the treatment of which
1. in the previous paragraph 1 point a); b) the related legal basis lies in the need to comply with the obligations contractually undertaken with the subject contractee of the insurance policy;
2. in paragraph 1 point c) above, the relative legal basis lies in the fulfilment of regulatory obligations;
3. in paragraph 1 point d) above, the relevant legal basis is consent, except for commercial communications relating to products and/or services similar to those already purchased and/or subscribed to by the customer for which the treatment is based on a legitimate interest of the owner;
4. in paragraph e) above, the relevant legal basis is consent, except for an activity of analysis of elementary information;
5. in paragraph f) above, the relevant legal basis is consent.
3. Modalities of data processing
The processing of Personal Data for the above-mentioned purposes is carried out by automated means (electronic support), in compliance with the rules of confidentiality and security provided by law, the Regulations, the consequent regulations and specific internal provisions.
4.Categories of recipients
Personal data will be processed by third party service providers appointed by the Data Controller and by employees or collaborators of the Data Controller, in their capacity as persons authorized to process personal data and instructed to do so by the Data Controller, within the scope of their respective work functions.
You may obtain a complete list of the data processors appointed by the Data Controller by contacting the Data Controller directly, as indicated in paragraph 5 below.
With reference to the purpose of the processing referred to in paragraph 1 above, specifically, your personal data may be disclosed to the following categories of persons, who may act as data processors appointed by the Company or as persons authorized to process and instructed by the Company. In particular, to: companies, collaborators and external professionals for specific technical-commercial, legal and administrative-accounting services in the execution of pre-contractual measures and/or contractual obligations; to public offices and bodies for legal obligations; to technical/computer consultants; to credit institutions and financial intermediaries where engaged in the execution of your orders or in related processing as above and for the management of collections and payments, to the judiciary, to the Police and other public authorities.
5. Data Controller The Data Controller is the organizer of the Conference. You may contact the Data Controller at any time, addressing your communication to the attention of the Data Controller for data protection at one of the following addresses: sending an e-mail to privacy@psicologiadelturismo.it .
6. Transfer of personal data abroad and dissemination of data
Your personal data may be transferred abroad, mainly to European countries, but may also be transferred to non-EU countries, always in compliance with applicable regulations and adopting measures to ensure the necessary levels of security. In particular, should the transfer take place to non-European countries and in the absence of adequacy decisions by the European Commission, the transfers will take place on the basis of the “Standard Contractual Clauses” issued by the Commission itself, as a guarantee of correct processing. In any case, you may always contact the Data Controller at the addresses indicated in paragraph 5 above, in order to obtain exact information about the transfer of your Data and the specific place of their collection. Your personal data will not be disclosed in any case.
8. Your rights (art. 15, 16, 17, 18, 20, 21 of the Regulation)
Pursuant to articles 15, 16, 17, 18, 20, 21 of the Regulation, you have the right to access the personal data concerning you, to obtain information about the data processed, the purposes and methods of treatment, to obtain the correction and updating of the data, to request the limitation of the processing carried out on your data (including, where possible, the right to oblivion and cancellation); to oppose for legitimate purposes to the processing of data and exercise your right to data portability; to complain to the competent control authority.

9. Period of storage of Personal Data
The processed data will be kept in our protected archives for as long as is necessary for the Services requested. Once the requested activity has been completed, the data may be cancelled or kept only for the purpose of documenting the activity carried out (if this is indispensable) or for historical and/or statistical purposes (in this case in anonymous form), except for fiscal data which will be kept for a period corresponding to legal obligations. Contact data for marketing purposes will be used until the consent given is revoked. Any data relating to activities for the protection of one’s rights (including in court), will be kept for the period of the final passage of the relevant judgment or last degree of judgment and, where necessary, for the next executive phase.
